Reports provide a comprehensive overview of data by analyzing and visualizing it based on various parameters. These reports help businesses track performance, identify trends, and make data-driven decisions.
Each Reports are related with a particular CRM module which is selected while creating a report. All the fields including the Lookup module's fields will shows up in the created Reports. The data from different CRM modules can be filtered to include only relevant information, which ensures accurate and targeted analysis. Filters are essential in screening the correct data for better visualization. Reports can be generated in different formats such as graphs, tables, charts, offering flexibility in how the information is presented.
Additionally, reports can be saved for future reference and shared via Connectors through the "Generate Report" action. This allows for seamless report distribution, ensuring that key insights are accessible across teams. By scheduling regular report generation and delivery, businesses can stay up-to-date with real-time analytics and improve their operational efficiency.
In Prebuilt, reports are commonly used for analyzing key metrics such as Lead Reports, Performance Reports, Deal Pipelines, Deals Won Data, Task Overdues, and more. These reports help businesses gain insights into various aspects of their operations. For example, Lead Reports track the progress of leads through the sales funnel, Performance Reports evaluate team efficiency, and Deal Pipelines help visualize the status of deals at each stage.
For example, in Prebuilt, a report is used to send a Daily Lead Report to the user’s email via the Connector - Email for Daily Lead Report. This report is generated based on the number of leads incoming on a daily basis and their stages, using specific filters. With the Connector action "Generate Report," the Connector retrieves data from the respective report and passes the attributes to the corresponding email template. This email template can be added to the email body. When the Connector triggers daily, the report generates the current date’s data and passes it to the Connector.
As shown in the above image the X-axis is mapped with Current Stage and Y-axis is mapped with Number of Records in a Vertical Bar chart. So it visualize the data as the Number of Leads incoming in lead module and their stages in a daily basis. Also we can visualize the data in a table by clicking on the Summarized Data tab above the chart. This Summarized Data can be customized.
Prebuilt modules are configured with some Reports which may be useful for the Users. Reports are customisable as per your requirements, that is you can change the chart configurations, chart types and can add filters, adding breakdowns etc. Lets go through each of the Reports.
This report provides a comprehensive data view of all tasks within the current project, including a count of tasks based on their statuses - Assigned, In Progress, and Complete. It also breaks down these tasks by the assigned user, displayed in a pivot table chart for easy visualization and analysis. The below image shows the report with sample data.
In this report, the Assigned User field is mapped to the rows, while Task Status is mapped to the columns. This setup splits the table columns by task status and rows by assigned users. Each cell displays the task count per status for each user, with row and column totals reflecting the overall task count for each user and status. This layout offers a clear view of task distribution across users and statuses.
This Report shows the visualized data of the logs created in the Call Logs module in a Daily basis. Here the Data is shown a Vertical Bar chart. Created Date field is added in X-axis Grouped by Daily basis and Number of Records field is added in Y-axis. So the number of Logs created in the Call Logs module daily will be shown in the graph as shown in the image below.
This report displays the count of leads for each Lost Reason by month, visualized in a horizontal bar chart. Number of Records field is added in X-axis and while the Y-axis is added with Lost Reason, showing the count of records associated with each lost reason along the Y-axis. Additionally, the Created Date field is set as a breakdown below the Y-axis, grouping data monthly to illustrate the trend of lead loss over time. This report enables users to monitor and evaluate monthly lead loss reasons effectively, providing insights into potential improvement areas.
This report provides an overview of task counts in the Task module, segmented by Task Status displayed in a Key Performance Indicator (KPI) chart. KPI charts offer a concise summary of CRM data, organized by fields added to Values and Break Down. In this case, the 'Number of Records' field is added to 'Values', while Task Status is added to 'Break Down'. This configuration enables the KPI chart to display a quick, summarized view of all tasks in the Task module based on their respective Task Status.
This report displays the total number of leads added to the Leads module for the current month up to the present time, shown in a Key Performance Indicator (KPI) chart. Here, the Number of Records field is added into Values, with an applied filter to capture data specifically from the current month in the CRM. This setup allows users to quickly view the cumulative lead count for the ongoing month.
This report provides a detailed user-based view of the total lead count by their current stage, up to the present date, shown in a Pivot Table format in the Leads CRM module. It displays the number of leads at each stage, by the user or agent handling them. In this setup, the Owner field is added to Rows, the Current Stage field to Columns, and the Number of Records field to Values. This layout allows for easy identification of lead distribution across users and stages, making it simple to analyze user-specific lead progress.
This report displays the number of overdue tasks in Assigned and In Progress task statuses for each agent or user displayed in a Pivot Table. The Assigned User field is defined in the Rows, Task Status is defined in Columns, and Number of Records is defined in Values. This setup provides an overview of overdue pending tasks for each agent, offering a clear summary of pending task.
This report displays the lead count in each Lead Stage up to the present time, shown in a funnel chart. A funnel chart illustrates the number of sales prospects at each stage in a sales pipeline. Here, the Number of Records field is defined in Values, and the Current Stage field is set in Breakdown. This setup provides users with a clear view of the leads within each stage of the sales pipeline. You can also customize this report by adding/ removing more fields and by adding filters.
This report is associated with the Call Logs module and displays call details based on the assigned owners for each log in a simple table format. Records are categorized by Call Status and Owner, with Columns defined by Number of Records and Breakdowns set by Owner and Call Status. A filter is applied to show only data from the current month. This report allows users to easily view and understand the count of each call log status assigned to each owner.
This report, associated with the Deals module, displays the monthly number of deals within the organization in a bar graph. The Y-axis represents the Number of Records, while the Created Date is set in the Breakdown by month, providing a clear view of deal volume for each month. This setup enables easy visualization of deal trends over time.
This report, linked to the Leads module, displays the monthly count of lead records over the past year, up to the current month. The graph offers an easy visualization of lead trends across the year, helping users track changes and patterns in lead generation month by month. Here X-axis is defined with Created Date grouped by Monthly basis and Y-axis is defined with No. of Records and a filter is added for extracting the data of last one year only.
This report, linked to the Deals module, displays the total revenue from deals won and closed in the current month, visualized in a KPI chart. It provides users with a quick overview of monthly revenue gained from successful deals. The Deal Amount field is added to Values, with filters applied to display only deals that are both closed within the current month and marked as "Won" in the deal stage.
This report visualizes lead counts by their sources in a Donut Chart, where each source's lead count is represented by a unique color. Sources with a higher lead count take up a larger portion of the chart, offering an at-a-glance view of the most effective lead sources. In this setup, Number of Records is added to Values, and Lead Source is set as the Breakdown, categorizing the data based on lead origin.
This report displays the total projected deal amount expected to close within the current month and closed this month for all active deals in a KPI chart. It shows the sum of Deal Amount and the No of Deals. It enables users to estimate the potential revenue from deals likely to be won in the month based on their expected closing dates.
This report displays the number of deals and their total deal amount with an expected closing date within the current month, presented in a KPI chart. It focuses on deal data that is not yet in the "Won" stage, achieved by applying a specific filter.
This report is associated with Deal module and attached the Lead module field using lookup. This report provides a performance overview of each user or agent over the past three months, based on the number of deals they’ve closed and the deal amount acquired. It allows users to track and compare individual performance trends across recent months.
This report, associated with the Leads module, tracks daily lead record counts across each Lead Stage, visualized in a Bar Graph. It enables users to analyze the number of incoming leads daily and assess their current stage by the end of each day. Additionally, this report is integrated into the prebuilt connector "Email for Daily Lead Report," which sends the daily lead report to the Admin via email.
This report is associated with the Deals module. It displays the number of deals or sales occurring each month, along with the total deal amount for each month, presented in a stacked bar graph.

A dashboard is a centralized display that consolidates various types of visual data, making it accessible and easy to interpret at a glance. Typically, dashboards are designed to present different, yet related, pieces of information in a way that allows users to make quick assessments and gain insights. In our platform, dashboards combine multiple reports into a single, organized view for simplified data visualization.
Using the Dashboard Builder, users can create and customize dashboards according to their specific needs. This tool provides easy access to visualized data by enabling the addition and arrangement of multiple reports. Reports can be dragged, moved, and resized within the dashboard for flexible layout customization, allowing users to configure dashboards to best suit their workflow and visualization preferences. This adaptability helps create an efficient and organized workspace for data analysis.
To access the Dashboard Builder, click on CRM Analytics from the left-side menu, then select Dashboards. This will open a new window for dashboard customization. In this window, click the + Add button to create a new dashboard.
A setup window will appear as shown in the image above where you can enter the dashboard's Name and Description, select the necessary options, and then click Save to finalize the setup.
In the Prebuilt configuration, there is a dashboard called Quick Overview, which combines various preconfigured reports to provide a comprehensive snapshot of organizational analytics. This dashboard includes reports like Lead Trend Last 1 Year, Deal Trends, Task Overview, Call Log Trends, Deals Won This Month, Deals Pipeline This Month, and Last 3 Months Performance Report. Users have the flexibility to add, remove, and rearrange these reports within the dashboard to suit their needs, making it easy to gain an overall view of organizational performance and trends.
To add new reports to the Dashboard, click on the Add Report button. You can adjust the position of any report by clicking on its title area and dragging it to the desired location. For further customization, viewing, or removal of reports, use the 3-dot menu located in the upper-right corner of each report box. Additionally, clicking on the Hamburger icon on each report will display a summarized view of the report data, allowing for quick insights directly from the dashboard.
